MEMBERS’ GUIDE TO RESERVATIONS

We request that Members please observe the following guidelines to reservations:
- State dates required, name and membership number on the reservation request.
- Reservation requests on current entitlements:
- should ideally be made a maximum of eleven months in advance of the arrival date.
- should be received by the reservations department by 10.00 a.m on the opening day of booking.
- cannot be changed to accrued bookings.
- Reservation requests on accrued weeks:-
- are accepted for bookings within their own season a maximum of six months in advance of arrival.
- are accepted for bookings involving upgrade or downgrade a maximum of three months in advance of arrival.
- must be requested within two years after the current year, after which point they are lost (e.g. your unused 2007 week will expire at the end of the year 2009.)
- Unused accrued weeks automatically expire when a membership is sold.
- Any entitlement other than the entitlement purchased cannot be accepted for booking until three months prior to arrival - includingupgrades and downgrades in seasons and villa types.
- Bookings will be accepted only from Saturday to Saturday or Tuesday to Tuesday.
- When availability permits Members may book half weeks – one from Saturday to Tuesday followed by another from Tuesday to Saturday or vice versa.
- Three months’ notice of cancellation should be given in order to avoid loss of entitlement. We request that allcancellations be confirmed to us in writing - this can be done by e-mail or fax.
- Please check the details on your booking confirmation form and contact us if there is any query.
- Allocations of villas are made only 5 – 7 days prior to arrival. Althoughnote of preferred villas will be taken at the time of reservation and every effort will be made to accommodate Members in the villas of their choice, unfortunately we cannot guarantee any particular villa in advance. Allocations will be carried out on a first come, first served basis, according to the date of reservation.
- All communications from La Quinta Club to Members will be in writing. We request that, whenever possible, reservations and any other queries be made by e-mail or fax.This will ensure that when allocations of villas are done (see point 10) there is no doubt as to the date of booking which determines the priority in villa allocation.
- You should notify La Quinta Club immediately of any change of your address, telephone number, fax number or e-mail address.
- During high demand weeks it is suggested that you call the Club to check whether your reservation request has been successful or if you need to apply for a different week. High demand weeks (at time of writing) are – green weeks 19 to 21, Whit Week, blue weeks 28, 38, 39 & 40, red weeks 29 to 37 and green weeks 42 to 46.
The above rules,endorsed by the Committee, enable us to operate fairly and in the interests of all Members.
NOTES
The Reservations Department will be open from Monday to Friday from 10.00 a.m. to 6.00 p.m. Spanish time and will be closed at weekends and on all Spanish public holidays.
Please complete the Holiday Checklist, along with Golf, Grocery and Car Hire forms if required, to reach us at least three weeks prior to your arrival date.
INTERVAL INTERNATIONAL/RCI RESERVATIONS
Please note that the exchange organisations, I.I./RCI will accept only those bookings which have been confirmed with La Quinta Club.
Any cancellations for exchange holidays must be confirmed both to the exchange organisation and to La Quinta Club - the three month rule also applies for cancellations with I.I./RCI exchange holidays (see point 8).
Bookings for RCI can be made only from Saturday to Saturday.
MOST IMPORTANT POINTS TO REMEMBER ON MAKING A RESERVATION
- Opening dates of bookings – If you are using current entitlement the opening date for bookings is exactly 11 calendar months before your arrival date. If you are using accrued entitlement the opening date for bookings is exactly 6 calendar months before your arrival date.

Written requests take priority over telephone calls. Competing requests for the same week are placed in a box and drawn at random (under the supervision of a Member if necessary).The Club does not accept advance reservation requests ‘on site’, however, letters arriving BY POST will be accepted up to 5 days before and considered as being received on the opening date.Any letter received more than 5 days before the due date will be discarded (the Member would be informed).Faxes and e-mails will be accepted from 6.00 p.m. on the preceding day of the opening.Telephone requests (which must be followed by written confirmation) will be accepted only from 10.00 a.m. on the opening day, starting with any recorded messages.

The Club can guarantee your entitlement each year within your season(s), but cannot guarantee specific weeks.Most membership certificates are designated as floating time, which guarantees a club villa during the season purchased. Certain weeks are in very high demand and Members may have to choose alternative dates if their first choice of weeks is not available or they are not drawn on the day of opening.

During high demand weeks it is suggested that you, upon booking, give us several choices of dates and all relevant information in order to avoid delay which could affect your booking opportunities. Unsuccessful requests will be rolled over to the following week within the same entitlement. If members do not wish to be rolled over for certain weeks, they need to advise the Clubin advance. High demand weeks (at time of writing) are: green weeks 19 to 21, Whit week, blue weeks 27, 28, 38, 39 & 40, red weeks 29 to 37 and green weeks 42 to 46.
